We recently discovered that some school systems may be over reporting their Dropouts.<br />
<br />
Under current data collection rules, you will get an error if you report a student as a dropout and another school system subsequently is reporting the student as enrolled in their system. However, you don't get any error or warning if another school <b>within</b> system reports a subsequent enrollment. To track these potentially problematic dropouts, we have added a new report in Student Record under Enrollment Reports menu. (Pic 1, 2 & 3)<br />

There are 3 major enhancements to SIS Error Check application:<br />

<li>Based on our analysis of just concluded year, we need to make sure each and every student in the system is scheduled correctly. This greatly reduces errors/problems in FTE, Student Record and CCRPI. (Pic 1 & 2)</li>
<li>Ability for administrators to be able to turn an error ON or Off, admin users still see ALL errors, error visibility only changes for school-based users. (Pic 2)</li>
<li>Ability for administrators to be able to see school counts for each error code. This is important when district users are trying to determine which schools need most help in terms of cleaning up their data. (Pic 3)</li>
<li>Identify students in grades K-8 who do not have 4 core courses (English/Lang arts, Science, Mathematics and Social Studies) scheduled. (Pic 4)</li>

both of these reports use Course History data for High school students along with students' current schedules. So, for these reports to work, necessary data needs to be imported from SIS database into FteTrack database. We already have scripts setup for Powerschool and Infinite Campus to do this, all you need is a read-only access to your SIS database. If you use an SIS other than the two mentioned above, contact us and we will provide file layouts to be used to export data out of your SIS.<br />

Dis-proportionality and Special Ed Discipline</h3>

Several Special Ed users have requested enhancements to Discipline detailed student reports in terms of being able to track total ISS and OSS days and being able to see which Special Ed students were expelled. Student Lists under "Student Safety Reports" now show <b>cumulative </b>days in ISS & OSS and also whether a student has been expelled (figures 3 & 4) along with Primary Area of Exceptionality (if applicable). Please share this with your Special Ed department users.<br />

Most school districts are having to deal with 100s or 1000s of the following errors:<br />

<li>E5095 - Course reported as SLO Course in Student Class must also be reported in SR System Course</li>
<li>E5096 - Course reported as SLO Course in SR System Course must be 'Y' for SLO Course in Student Class.</li>
<li>E6008 - If SLO COURSE = Y, then the SLO PRE-MEASURE is required if the MARKING PERIOD is one of the following 'Y1', 'N1', 'N2','N3',‘S1’, ‘S2’,T1’, ‘T2’, ‘T3’, ‘X1’, ‘X2’, ‘X3’,'X4', unless a valid exemption code is reported.</li>

These are caused as result of System level course file (collected with Student Record) being out of sync with Student Class courses. FteTrack error report gives you a list of courses/sections and NOT the individual SC record counts. In most cases just adding a few courses to System level course file will fix E5095s, whereas, marking individual sections as SLO course and possibly with an exception code of 907 will fix E5096 errors. You need to load your System Course file (Student Record load) to be able to see these errors (see Pic 2 for File name and locations). </div>

These mainly are a result of missing SLO Pre and/or Post scores. Since we are almost in April, so if you don't have a Pre score for an SLO course, in all probability, that course/section should be marked with the exception code of 907 in the SIS. The way error code K060 (Pic 3 & 4)works is : we look for any section where each and every student has a NULL Pre score, i.e., the whole section needs to be marked with the exception code 907. </div>

Official <a href="http://www.gadoe.org/Technology-Services/Data-Collections/Pages/FY2016-FTE-Resources.aspx" target="_blank">Data Collection Documentation</a> page defines this field as follows:<br />

One word of caution though, your SIS FTE Extract program may not have this new field in the file yet, so you may see a few of these new errors, but, you can still load the FTE file without this new data element. FteTrack will accept the file in old format, <b>in fact</b>, we encourage users to load their files regularly now and not wait for the DOE window to open, or, SIS vendor to release updates. <br />
<br />
FteTrack file load process has been updated to account for this new data element, several new error codes (Fig 1) are associated with this field and can be found under "FTE Errors and Warnings summary". We also have a new report (Fig 2, 3 & 4) under "FTE MENU" with drill down capabilities.<br />

Total Service Minutes has also been added to the Student Detail page (Fig 5)<br />

Another <b>big change</b> that a lot of users have requested, is the ability to assign/remove access to individual applications (buttons on FteTrack Launchpad) for each user. Now, you can do that (Fig 6)<br />
For example, you can give access to HR folks on CPI Track only, or, hide the CPI Track completely for school based users who don't need to deal with CPI information at all.<br />

You can also shut off a particular application completely for everybody. CRDC Update will be a good such candidate at this point, given the new CRDC data collection cycle doesn't start until after August. Let us know if you need to do this as this can be done very easily by running a simple SQL script rather than updating one user at a time.<br />

so you only need to verify it, but there is still some information you will
have to get from your schools. You can use FTEtrack to verify AND to collect
missing data. All you need is the FTE and Student Record files from 2013-2014

If you’ve given your principals an account on FTEtrack (you have,
haven’t you?) they can log in, select the CRDC forms, and simply look for the
items in <span style="color: red;">red</span>. Those are the items that they need
to fill in manually, as those are not in your SIS system and have not been
uploaded by the DOE for you. These are things like school characteristics,
total FTE of teachers and their experience, etc.<o:p></o:p></div>

and passed a subject, number of courses that were taught, and student
absenteeism…no more digging through prior year data!<o:p></o:p></div>

Since the DOE has uploaded some information for you, you can compare
what is in FTEtrack to what is on the federal CRDC site. If you are using the
correct files, the numbers should match or at least be fairly close to what the
DOE has uploaded. Once the remaining data is filled in on FTEtrack, you
can download the file by logging on as an Administrator to CRDC Track and using
"Export" button (on top right). The download file can then be
uploaded to the CRDC federal site.<o:p></o:p></div>

participated in the CRDC data collection nearly every year (for some odd
reason…aren’t we lucky?) I can tell you that this year the collection has taken
less than an hour for the principals and much less time for me, as opposed to
taking days and weeks in the past. If FTEtrack included only the CRDC piece, it
is well worth the cost!<o:p></o:p></div>

As we are nearing the end of another school year, high schools are looking at graduation and printing honor rolls. Since schools already have to report High School transcripts for HOPE scholarships to GA411, we think, the same dataset should be used to determine students who have ALL A's & B's.<br />

Latest version of HOPE Track adds another option to "Reports" tab for schools to be able to review and print this information (Picture 1).<br />

DOE's Student Record "data cleansing" has been problematic at best. Several edits are either not working or if they are working, they are not working as they are supposed to.<br />
<br />
I have wasted several weeks trying to "figure out" what's wrong with our data, only to realize that the DOE still hasn't implemented changes that they published months back at their end.<br />
<br />
Good news is, we have all of those edits and file layout changes implemented in our application.<br />
<br />
Course level data creates a lot of problems regarding Students in grades 6-12 not having enough courses in the file. The problem is, most schools are not yet finished with first semester still, so the course level extract generated by the SIS doesn't have enough courses for most students.<br />
<br />
To get around this problem, what we have done is to provide a way in SR application so that you can merge your Student Class data with SR Course extract. This will significantly reduce your course level errors and will also prepare you end users for errors that they will see once courses in Student Class have a final grade and are included in SR Course extract.<br />

When we load Student Class to SR, we only keep records that are not already in SR Course extract based on StudentID, Course# and Section# key.<br />
<br />
So, after you have loaded your Student Class file along with SR Course extract and you still have <b>E902</b> errors for students, those students have missing/incomplete schedules in your SIS as they are not even scheduled in enough classes.<br />
<br />
Another way to verify course data is to look at CCRPI reports available in the application that reference SR Course data.<br />

<b>Merging DOE errors with application generated errors:</b><br />

As most of our users know, SR application only generates errors/warnings that can be generated based on data files you load to the application. What that means is that we cannot generate errors that reference other DOE datasets/applications (GUIDE errors) , or, reference data from another school system (Duplicates with other school systems).<br />
<br />
To get around this limitation, you can download SR errors from the DOE portal and merge that error report with the one generated by SR application. To do this:<br />

A new report (Pic 1) is available to System Administrators in FteTrack that shows any FTE program categories where total segment counts may have dropped below 5% from the previous year. The reason this report is only available to System Admins is because your school users already have access to these numbers in "Funded & Non-funded Students" report. This report alerts System Administrators about programs and services that could potentially affect <b>QBE funding</b> and <b>teacher allocations</b> for the school and the District negatively.<br />

Several of our users have asked for a way to display errors you get on the DOE portal and are not generated by FteTrack withing FteTrack error page.<br />
<br />
Now this is possible, here is how.<br />
<br />
You want to download your Errors from the DOE portal for your system, it should be called <b>XXX</b>fte_errors.csv, where XXX is your 3 digit district code. Then, you just copy this file as is to C:\StateFiles folder of your FteTrack server.<br />
<br />
That's all you need to do, next time you run FteTrack load job, it will automatically load the DOE error file and merge that with errors that are generated by FteTrack so that your school users will have just one place to review these errors and make the necessary changes to data.<br />
<br />
<b>To apply these changes</b>, please refer to <a href="http://ftetrack.blogspot.com/2014/02/updating-fte-track-and-student-record.html" target="_blank">self-update guide</a>, or, give us a call.<br />

<span style="font-size: x-small;">E0702<span class="Apple-tab-span" style="white-space: pre;"> </span>STUDENT STATUS = 'R'; GRADE LEVEL must be the same GRADE LEVEL as reported in the prior FISCAL YEAR Student Record collection.</span><br />
<span style="font-size: x-small;">E167<span class="Apple-tab-span" style="white-space: pre;"> </span>The STUDENT ID has been reported with more than one GTID this fiscal year. Please see FTE report FT091 for details and more information for resolving this error.</span><br />

<span style="font-size: x-small;">W165<span class="Apple-tab-span" style="white-space: pre;"> </span>STUDENT ID changed since the last FTE cycle or Student Record collection. Previous STUDENT ID should be entered in the PREVIOUS STUDENT ID field.</span><br />
<span style="font-size: x-small;">W167<span class="Apple-tab-span" style="white-space: pre;"> </span>The STUDENT ID has been reported with more than one GTID this fiscal year. Please see FTE report FT091 for details and more information for resolving this error.</span><br />
<span style="font-size: x-small;">W2569<span class="Apple-tab-span" style="white-space: pre;"> </span>Student is reported in a grade other than '12' and a withdrawal code of 'G'.</span><br />
<span style="font-size: x-small;">W2572<span class="Apple-tab-span" style="white-space: pre;"> </span>Student ID is reported in another system in the state with a different gender code.</span><br />
<span style="font-size: x-small;">W2574<span class="Apple-tab-span" style="white-space: pre;"> </span>GTID is reported in another system in the state with a different date of birth.</span><br />
<span style="font-size: x-small;">W2576<span class="Apple-tab-span" style="white-space: pre;"> </span>Student ID is reported in another system in the state with a different grade level.</span><br />
<span style="font-size: x-small;">W2675<span class="Apple-tab-span" style="white-space: pre;"> </span>Active students with the same name are being reported with different STUDENT ID's. Please verify data reported is correct - if correct; no action required.</span><br />
<span style="font-size: x-small;">W2991<span class="Apple-tab-span" style="white-space: pre;"> </span>The WITHDRAWAL DATE is prior to September 16; and the student has not been reported as active by another district in FTE Cycle 1 (See FT053).</span><br />

<b>If you don't want to merge these errors in FteTrack </b>error report, you just delete the file you downloaded from the DOE portal from <b>C:\StateFiles</b> folder.<br />
<br />
As always, you can always turn off an error visibility by going to FteTrack's "Setup Error" page (see pic below). Once you turn off an error, users will no longer see that error on their error summary report.<br />

There are several <a href="http://www.gadoe.org/Curriculum-Instruction-and-Assessment/Accountability/Documents/2015%20CCRPI%20Indicators%2008.21.14%20FINAL.pdf" target="_blank">CCRPI </a>indicators that can be derived from Student Record (& FTE) data alone. Other indicators need extended Assessment data that's not part of either FTE or Student Record data collection.<br />
<br />
Now, the reports that can be derived from Student Record and FTE datasets, are available in Student Record application. We encourage school districts to keep track of these year round and not just towards the end of the year.<br />

A major <a href="http://www.gadoe.org/Technology-Services/Data-Collections/Documents/DC_Conf_SEA-Other/FY2015/2015%20CCRPI.pdf" target="_blank">change in upcoming 2015 CCRPI </a>reports is the change in the way student attendance information is factored into a school's CCRPI score.<br />
<br />
Instead of average daily attendance (ADA), percent of students with fewer than 6 absences is going to be included in Post Elementary, Middle & High school readiness scores.<br />
<br />
Now, we have a report available under Enrollment reports, that will help schools keep track of this important CCRPI indicator year round. See the screenshots below<br />

Several people (thanks Jodi, Mike, Patricia and Samantha) have suggested that <a href="http://ftetrack.blogspot.com/2014/07/ftetrack-and-schedule-analysis.html" target="_blank">Missing Core Courses Report</a> will be more effective if there was a way to configure the courses required by grade levels.<br />

Now, there is way (see screenshots below). You can choose which courses are required for each grade level and Schedule Analysis will honor your selection when determining which students are missing one or more Core courses for the grade level they are enrolled in. This setup page is available in FteTrack setup menu.<br />

The 2013-14 CRDC will collect information about the 2013–14 school year from a universe of <b>every</b> public school district and school.<br />

The following statement for <a href="http://www2.ed.gov/about/offices/list/ocr/docs/crdc-2013-14-school-level-table-layout.doc" target="_blank">this document </a>on ED website for CRDC made me chuckle though:<br />

Are they kidding or just ignorant?<br />

I have known school districts during the last CRDC reporting cycle (2011-12) where they had 3-4 people working full-time for months to be able to compile this massive dataset for all of their school and they had 12 schools.<br />
<br />
Anyway, based on the guidelines from <a href="http://crdc.ed.gov/" target="_blank">OCR website</a>, we can conclude that most of the data elements ( <b>> 80%</b> ) at school level (both Part 1 & 2) can be easily derived from the existing FTE and Student Record datasets that each school district in Georgia already reports to the state.<br />
<br />
The way this application works is, you load your October 2013 FTE file (for Enrollments) and 2013-14 Student Record files (for Course & Discipline related data elements). The application <b>pre-fills </b>forms for individual schools with <b>more than 80% </b>of data fields already filled in. Data elements that are not part of either FTE or SR data collection can be manually entered and saved into the form for each school.<br />

Once finished with <b>minimal </b>data entry, a file can be generated containing School level data (parts 1 & 2) for <b>all of the schools </b>in a single file. This file can then be <b>directly uploaded (NO manual data entry on OCR site) </b>to the OCR website.<br />

This application is Desktop java application that pulls data directly from Student Information System database (Powerschool and Infinite Campus only at this time), so, you will need the necessary information like your database server name/ip address, port etc.<br />

FteTrack now gives school districts even more options to customize the application so that it fits a district's unique needs.<br />

Most school districts have an "FTE Manual" that clearly states how to handle each individual DOE errors. Application administrators can now enter error resolution texts for each of these error codes in the application setup page (Pic 1 & 2), so that when a school user logs in and reviews his/her errors s/he will also have one two lines of text (Pic 3) that can guide the user in terms of how that error needs to be resolved.<br />

She wants to be able to control what her school users see in terms of Errors and Warnings. SR application already allows admin users to turn an Error/Warning code on or off at System level. But, she wanted a more granular control, i.e., to be able to turn specific errors off for individual schools.<br />

Content Completer data element is mandatory for each Course level record. This element, though new, is a critical data element and will potentially be used for a large number of <a href="http://www.gadoe.org/Curriculum-Instruction-and-Assessment/Accountability/Documents/2014%20CCRPI%20Indicators%2004.01.14.pdf" target="_blank">CCRPI indicators</a>.<br />

There is a lot of confusion out there about how this element is going to be reported and how it's going to be used for CCRPI. Information <a href="https://sas.elluminate.com/mr.jnlp?suid=M.4C079E5606E2950FA99C388B772B1C&sid=2012003" target="_blank">available</a> through the DOE is complex and confusing at this point. Furthermore, 2 weeks from the end of current school year and the DOE is still trying to finalize the requirements..<br />

Having said all that, we have added a new Course level report that validates Content Completer flag. This exception report looks for the following:<br />

<li>Content Completer = P and Numeric grade < 70 or Alpha Grade = F or N for any part of the course</li>

Assuming SPED Environment codes are coming directly from student's IEP, the following report also helps you make sure that your Special Ed students are scheduled correctly, i..e., <b>.8</b> and <b>.9 </b>courses are being used appropriately and also the inclusion information is entered correctly in the SIS.</div>

Once on the Setup page, scroll down to the middle of the page. You will notice the file names FteTrack looks for and also the Folder where you need to copy these files. For example, according to the picture below (Picture 3), I would need to rename my FTE extract file to FTE.txt , my Student Class file as SCP.txt and my Teacher Class file as TeacherClass.txt and I would need to copy these three files to a folder called StateFiles on C: drive of my FteTrack server. Then, I go back to my Desktop and double-click on "FteTrack Load" shortcut on desktop to load these files.<br />
